Rapid EHR selection for multi-hospital system
Asante is based in Medford, Oregon, and governed by a board of directors comprised of local volunteers and physicians. As the largest health care provider in nine counties, Asante provides comprehensive medical care to 600,000 people throughout Southern Oregon and Northern California. Its facilities include Asante Ashland Community Hospital in Ashland, Asante Rogue Regional Medical Center in Medford, Asante Three Rivers Medical Center in Grants Pass, Asante Physician Partners and additional health care partnerships throughout the region.
the challenge
Asante Health had a collection of various clinical and revenue cycle systems and no integrated medical record system. One clinical systems vendor notified Asante that they would discontinue support in 24 months. The organization was challenged with selecting an integrated EHR and revenue cycle system. At the same time, Asante was growing its acquisition of clinical practices and in negotiation with another hospital to support their IT systems.
the solution
A rapid and structured EHR Selection Project was proposed to assist Asante Health. The Selection Committee was identified and process developed to short-list potential vendors. Total cost of ownership (TCO) was developed and a rationalization of applications conducted to determine which applications to decommission. Vendor demonstrations were scheduled at both Asante hospitals to reach a decision on the vendor of choice.
the results
Within three months organizational consensus was reached for the vendor of choice.
- Pricing was negotiated and the TCO refined with additional information discovered during the vendor qualification process.
- The selection project was completed on-time and under the projected budget.
- Asante Health continued with the implementation of the new EHR and completed in 20 months.
